Count from approval
An approved stock order creates the commitment straight away. A draft is not on order, and a send record is a separate fact.

Keep one open source request
StoresFlow supplies the item need and its source. A later need updates the open request for that item and site rather than adding another copy.

Use the inventory position in StoresFlow
StoresFlow considers available stock and the on-order commitment when raising its stock need. If Purchasing cannot be reached, it shows unknown, never a misleading zero. Purchasing does not set reorder points or forecast demand.
Separate supplier replies from commitments
Record the supplier’s offered date and quantity. A reply does not silently change the approved order; a different commitment needs an approved amendment.

Reduce the balance as goods arrive
StoresFlow confirms the physical receipt against an order line. The open-order view shows ordered, received and outstanding quantities, while Purchasing keeps the remaining commitment.

What SmartFACT Purchasing does not do
- Purchasing does not hold physical stock or set reorder points.
- No forecasting, MRP, valuation or multi-site stock planning.
Common questions
Does a draft count as on order?
No. Approval creates the commitment. Sending is tracked separately.
Do one-off non-stock purchases count as stock on order?
No. Non-stock work has its own outstanding completion balance.
What if Purchasing is unavailable?
StoresFlow treats on order as unknown rather than zero. A person checks the connection before relying on a new ordering decision.
