Purchase requisition vs purchase order: what’s the difference?

Updated

A purchase requisition is an internal request to buy something; a purchase order is the approved instruction communicated to the supplier. In SmartFACT Purchasing, a requisition is called a purchase request. Requests become draft orders that supervisors approve before anything goes to a supplier.

What is a purchase requisition?

A person asks for an item or service, with its quantity, needed date and reason. It is an internal need, not permission to send an order.

Requests from the stockroom and from people

StoresFlow can supply a stock request. Your team can request catalogue items or a one-off service. The original source and reason stay visible.

Turn requests into a draft order

The purchasing team prepares one draft per supplier, using the supplier’s packs, minimums and exact unit conversions. The draft can be reviewed before submission.

Which one is approved?

Purchasing approves the order revision, not the purchase request as a separate budget stage. A supervisor checks the draft with a recent second factor. Rules never approve it.

Which one goes to the supplier?

The approved purchase order, with its reference and fixed document revision, is communicated to the supplier. The internal request stays in the history.

What SmartFACT Purchasing does not do

  • No request budget checks or separate request-approval stage.
  • No automatic approval, invoices or accounting postings.

Common questions

Which comes first, the requisition or the purchase order?

The internal request comes first. The purchasing team uses it to prepare an order.

Are purchase request and purchase requisition the same?

In SmartFACT Purchasing they refer to the internal need to buy. The product uses purchase request.

Do purchase requests have a separate approval stage?

No. The order revision is approved. Purchasing does not provide request budget codes or a separate requisition approval workflow.

Trials are by invitation and start with one agreed workflow. Scope and arrangements are agreed with you before access.
