INVITED-TRIAL GUIDE · UPDATED 18 October 2026
How SmartFACT Purchasing works
From a purchase request to an approved order, supplier communication and a recorded delivery.
This guide describes the trial scope. Access and the workflow supported for your site are agreed before the trial starts.
Agree the catalogue and rules
An author prepares suppliers, supplier items, exact unit conversions and ordering rules. A different reviewer checks and activates the release. Your site chooses approval limits and the people allowed to approve.
Collect requests and prepare drafts
StoresFlow supplies stock needs. People can request catalogue items or one-off work. The queue groups requests by supplier, explains pack rounding and prepares drafts for review.
Approve the commitment
A supervisor checks quantities, dates and delivery details with a fresh second factor. A rule may require another supervisor or exclude the submitter. Approval freezes the order reference and documents and creates the on-order commitment.
Communicate and follow up
Send from your qualified mailbox or record another communication. Keep supplier replies separate from the approved order. A changed quantity or date on the order needs an approved amendment.
Receive stock and confirm work
StoresFlow records stock deliveries against order lines. Purchasing records non-stock completion, including partial completion and corrections. The outstanding amount stays visible.
Start with an invited trial
We agree scope, onboarding, support and any charges before access. Use a separate sample site to practise. Purchasing does not replace accounting, invoice matching, MRP or stock control.
Practise with the real screens
Practise purchase requests, approval, sending and deliveries in the actual application, with isolated invented records.
Read the guides on any device. Interactive demonstrations run on a desktop or laptop, with the appropriate desktop or handheld view.
